Collapsing a six-month client onboarding to weeks
A government and non-profit health and human services case management platform
Document automation and plain-English compliance analytics for a case management platform
- Industry
- Health & human services technology
- Serves
- Government agencies and non-profits across counties and states
- Engagement
- Onboarding automation + compliance analytics
- Architecture shown
- Google Cloud reference design
The challenge
- Onboarding a new county or state took roughly six months of hand configuration
- Implementation cost compressed margin on every new client signed
- Compliance questions needed SQL, a ticket, and days or weeks of waiting
- Fraud and billing exposure was usually discovered when a payer flagged it, in arrears
What it had to do
- Automate form onboarding without removing human approval
- Let non-technical staff query compliance data directly
- Detect high-risk billing patterns as they occur
- Make each new client more profitable than the last
What we built
We automated the form-onboarding pipeline and deliberately kept an edit-and-approve step so a person signs off every output. Alongside it we built a conversational analytics layer over the compliance data, plus ten pre-built monitors covering the highest-risk billing scenarios in health and human services.
Automated form pipeline
Configuration that took months now runs as a pipeline with a review step.
Human approval retained
An edit-and-approve gate on every output, by design.
Plain-English compliance queries
Supervisors and billing managers query their own data without engineering.
Ten risk monitors
Overlapping visits, unrealistic travel distances and duplicate claims caught as they occur.

Results
- 80 to 90% of form onboarding effort automated, with the remaining 10 to 20% kept as a deliberate human edit-and-approve step
- Go-to-market timeline compressed from roughly six months to weeks
- Professional services cost targeted at a reduction of 70% or more per implementation
- Staff can ask plain-English compliance questions and get answers in seconds instead of filing a ticket
- Fraud and compliance exposure now detectable before payer audits, across ten pre-built risk monitors
For implementation teams
A new county is a pipeline run and a review, not a project.
For compliance
Risk is visible as it happens rather than after an audit.
For the business
Onboarding speed becomes a differentiator instead of a liability.
